About MunoM

What is MunoM

MunoM is short for Model United Nations of Munich. It is a simulation of the real United Nations. Every year in November we host about 400 participants, from schools all across Europe. Around 300 of the participants are delegates. Delegates get to represent a country and are assigned to a committee. They debate current global issues and try to create resolutions with solutions to those issues. The delegates are split into different committees/councils. Each committee counts about 30 delegates (each with their own country). The different committees are: five GA's (General Assembly), three ECOSOC's (Economic and Social Council), a Security Council (SC), and sometimes a Historical Security Council (a SC set in the past). These committees each have a general topic which they focus on. Based on this general topic, each committee is assigned three specific issues, which can be found on the agenda and which will be debated by the respective committees.

The spoken language at MunoM is English and because MunoM is a serious conference all participants are expected to dress formally.

You can also attend as a Chair, member of the Press Team, Ad-Staff or Executive Staff. More information on different roles can be found under Roles and applying.

There are many good reasons to participate in an MUN conference. You can gain insights into current affairs and international relations, meet new friends from different countries, improve your English and gain confidence by learning how to speak in front of others.

Programme Of Events

Opening ceremony

At the beginning of the first day (Tuesday morning) the conference is officially opened with the opening ceremony. We will entertain speeches from the Secretary General, the Head of Board of Directors and several other guest speakers.

Ambassador speeches

Later on Tuesday the ambassador's opening speeches will take place. It is obligatory to hold an opening speech for each delegation. This gives them the opportunity to address the General Assembly and ECOSOC on behalf of their delegation. The delegation's ambassador should present the opening speech. The speech can be either of a general or a specific nature; it must, however, represent the country's or organisation's opinion on the addressed subject. Speakers should not attempt to cover as many topics on the agenda as possible, but should try to come to a conclusion on what they find the current most important theme in the world. You could for example concentrate on a single item which affects many UN members. Opening speeches should not exceed 1 minute.

Lobbying

On Tuesday and the beginning of Wednesday lobbying takes place. Here, delegates aim to find other delegates within their committee, whose countries have similar views on the given topics. They then try to write a resolution together. More information on resolutions can be found under Resolutions.

Debate

The debates take place on Wednesday and Thursday. The chairs will select submitted resolutions and then the committee will get to debate these, following the rules of procedure (more information on these can be found under Rules of Procedure).

Party

On Thursday night all participants are invited to attend the MunoM party. The entrance is free.

Forum Assembly

On the last day the councils merge to form the Forum Assembly. The 5 GA councils will form the GA Forum Assembly and the 3 ECOSOC councils merge to form the ECOSOC Forum Assembly. Here they will get to debate already accepted resolutions one more time, but in a larger group, together with the other committees.

Crisis

At some point during the Forum Assembly, a crisis is often held. The Security Council, together with their President and Vice President, come up with a situation that all delegates of all councils and committees need to discuss. For example: building of a border wall between the USA and Canada, approaching of a meteor and declarations of war. These crises are mainly made for entertainment and improvisational debating and not to be taken too seriously in the whole running of the conference. In the event of a crisis, the Security Council goes to the GA FA and ECOSOC FA and the President as well as the involved countries explain the crisis to all delegates. What then proceeds is a debate on the crisis (without lobbying or pre-ambulatory clauses, just like in the SC) and the resolution is voted on.

Closing Ceremony

At the end of Friday the conference will be officially closed with the closing ceremony. There are again planned a number of speeches, including ones from all Chairs and ones from the Executive Staff. Additionally, the Press Team will present a video of that year's MunoM, which was created throughout the week.

General Information

General rules

This conference is of serious and diplomatic nature. Therefore there are certain rules that have to be respected:

During the conference, alcoholic drinks and narcotic drugs are strictly prohibited. Smoking is only permitted in designated areas. Mobile phones must be turned on silent. The use of chewing gum is not allowed.

The purpose of these simple guidelines is to make it possible for all MUN participants to operate, considering the primary purposes of the conference.

Dress code

Being a serious simulation of the United Nations delegates are expected to be dressed appropriately. For boys this means that they should be dressed in a formal suit, a shirt and a tie (jeans are not allowed). Girls should be dressed equally formally in suits, with trousers or skirts, or dresses. Skirts can't be shorter than just slightly above the knee. Revealing tops are not allowed. Shoes also have to be formal (wearing sneakers is not permitted). Delegates may be denied access to the conference when appearing dressed inappropriately.

Badges

All participants will receive their badge when they register. You will need it to enter the conference buildings. If you lose your badge, you will have to obtain a new one at the Information and Registration Desk for a fee of € 5.

Public transport ticket

When you register you will receive a public transport ticket. The ticket should only be validated on the morning of the first day of the conference for it to be valid on the last day of the conference as well. The ticket is valid for Zone M.

Packed food and snacks

Participants are encouraged to bring packed food and/or snacks should they become hungry prior to lunch. Food may not be eaten in the conference rooms, though it may be eaten outside of the building, in the cafeteria or near the kiosk.

Computer and photocopying facilities

Computer and printing facilities for making changes to resolutions will be provided in external venues and the ESM. You will need to bring a USB memory stick in order to save any changes made. Delegates are highly encouraged to bring a USB stick and laptop for lobbying on Tuesday and Wednesday if possible. The Administrative Staff is responsible for photocopying.

The MunoM newspaper

The MunoM Press Team consists of journalists, photographers, a film crew and an editor, who will be responsible for publishing a daily newspaper. The MunoM newspaper will not necessarily include real news headlines, but rather reports on the issues being debated and the progress of the committees. Delegates are welcome to contribute to the MunoM newspaper by handing in articles of any nature to a member of the Press Team. Short ‘press conferences’ held in the committee rooms will allow the Press Team to ask delegates questions concerning the debate and their opinions on the issues.

Roles And Applying

Delegate

Delegates make up the biggest group of participants. Every delegate represents a country and is assigned to a committee. They debate global issues and try to create resolutions, with solutions to these given issues. There are normally around 300 delegates. Applying: If you want to participate as a delegate you will need to apply at your school, as MunoM does not accept individual delegates. The age limit is up for the individual schools to decide, but it is usually from S4 to S7 (14+ y/o). Applications are normally available in the first weeks of the school year, again depending on your school. NOTICE: Delegate applications for MunoM 2023 are now closed.

Delegations/Schools

As mentioned above MunoM does not accept individual delegates. Instead high schools (we don't accept universities) can apply with a delegation. This delegation needs to be under the guidance of at least one teacher, the so-called MUN-Director. It is the duty of the MUN-Director, also referred to as Faculty Advisor, to prepare and supervise their students. The size of these delegations varies from school to school, but averages around 10 delegates. Each school is assigned one or more countries to represent. Each delegation also needs a number of ambassadors. Per country, one in GA and one in ECOSOC. Ambassadors are often more experienced delegates, whose duties are to arrange notepaper for their delegation and to hold an ambassador speech (More information on the speech under Programme of Events). Applying: Schools can apply via the website MyMUN or by sending an email to info@munom.eu. Applications for schools open around March.

Chair

The Chair’s role is to lead a committee and the debate and make sure the Rules of Procedure are being followed. Every committee is assgined a head Chair and a deputy Chair, with the head Chair being more experienced. There are also two Chairs for the whole of the GA's and two for the ECOSOC's. These are called the President and Deputy President. They are given as additional roles to a number of chairs. Presidents and Chairs are also referred to as Student Officers. Applying: As a Chair, you need to have a very good understanding of MunoM and the Rules of Procedure. Therefore you need experience as a delegate in order to apply as a Chair. Many Chairs are from the European School Munich, but every year there are also several Chairs from other schools. Chairs need to lead committees with delegate from up to S7 and therefore need to be of a certain age themselves. Ideally, they should be in S6 or S7 (16+ y/o), but we sometimes also take chairs from S5 (15 y/o). Under circumstances, we sometimes also take independent chairs (not part of a school) from up to 21 years old. In order to apply for Chair, applicants must first attend the Chair workshop, which is ussualy held in April or May. It will be communicated when the workshop takes place and how to apply for it. NOTICE: Chair applications for MunoM 2023 are now closed.

Press Team

The Press Team, also known as 'The Best Team', is responsible for documenting the conference. They produce a daily newspaper, a video to show at the closing ceremony and lots of pictures. The Press Team normally consists of approximately 30 members, of which around 16 are journalists, 12 are photographers and 4 are part of the film-crew. So if you are interested in documenting an event by writing, taking pictures or taking videos and assemble an amazing video, then the Press Team is the place to be! Applying: (Approx. S4-S7 (14+ y/o)) ESM students wishing to participate need to fill out a form, which they can find at the reception.

Administrative Staff

The Administrative Staff (Ad-Staff for short) helps the Executive Staff with the organisation of the conference. They set up the rooms, prepare material, print resolutions, manage the note-passing during the debate and generally ensure that the conference runs smoothly. The Ad-Staff consists of 30 to 35 members, which are split into 3 or 4 Ad-Staff per committee. Applying: Only students from the European School Munich can apply for Ad-Staff. Applications usually open around the beginning October. We will communicate when they open using posters etc. To apply you need to fill out an application form, which can be found at the information desk. To apply for Ad-Staff you need to be in at least S3. We usually only take students from up to S5, as Ad-Staff is more of an entry role.

Executive Staff

The Executive Staff is the body that organises MunoM. They do this together with two or three teachers, that make up the Board of Directors, lead by the Head of the Board of Directors. The Executive Staff is a team of 12 students, which are spread over 6 different positions. Each position is occupied by a head and a deputy, with the head being the experienced student, that was the deputy the year before. As a member of the Executive Staff you have a lot of responsibility and by far the most work in comparison to other roles. You will need to attend weekly meetings throughout the school year. However, at the same time, it is also the most rewarding role, as you get to experience MunoM in a unique way. Applying: Only students from the European School Munich can apply for Executive Staff. To apply you need to have participated in MunoM before. You are member of the Executive Staff for two years (first year as a deputy and second year as a head). Therefore only students in S4 and S5 can apply for this position. The applications open a few weeks after the ending of the previous conference. To apply you first need to fill out an application form, which can be found at the information desk. You will then be invited to an interview, where the previous deputies/future heads and the Board of Directors will be present. Afterwards, an applicant will be assigned to each position and the Executive Staff for the coming MunoM is formed. Below are the job descriptions for all six positions.

Secretary General & Deputy Secretary General

The Secretary General and the Deputy Secretary General are responsible for: Organising guest speakers for the conference. Inviting and informing Student Officers Chairing weekly meetings, including writing the agenda. Organising workshops Monitoring progress and ensuring co-operation between members of the Executive Staff. Representing the Executive Staff as the official spokespersons. Writing/Updating the instructional guide, the info booklet, the issues for the agenda, the programme of events, the list of delegations and the mailings to the participating schools.

Chief of Protocol & Deputy Chief of Protocol

The Chief of Protocol and Deputy Chief of Protocol are responsible for: Writing the agenda Editing Guides (Student Officer, Delegate), Rules of Procedure, Research Report guidelines, Approval Panel documents Organising delegate workshop Running the Student Officer workshop Choose what committees there will be and where they will be placed according to the venue Running the AP during the conference Preparing Student Officers Running the crisis on the last day

Conference Manager & Deputy Conference Manager

The Conference Manager and Deputy Conference Manager are responsible for: Organising a conference building, including committee rooms, a computer room and photocopying facilities. Organising lunch for participants. (Which includes sending a lot of E-mails) Producing the infobooklet and the instructional guide. Designing the MunoM badge and party tickets. Arranging for these and any other printed materials required to be printed. Arranging country placards.

Financial Manager & Deputy Financial Manager

The Financial Manager (FM) is in charge of all issues relating to money – before, during and after the conference. The FM must: Draft a financial plan. This should be based on the expenses and receipts from previous conferences, but adapted to the current conference. Set the participation fee. This should take account for factors such as any surplus from the previous year, the expected number of participants, and the estimated costs for lunches, lease of the conference building, etc. Contact potential sponsors (by post, e-mail or phone), in order to obtain financial aid, and for issuing receipts for any sponsorship received. Keep a running overview of the budget and the MunoM account, and decide whether an outlay is in line with the budget. Any expenses incurred by a member of the Executive Staff must be approved at meetings. Where members of the Executive Staff spend their own money to buy something for the conference, the FM has to keep all the receipts and reimburse these expenses after the conference. Check that participation fees have been credited to the MunoM account. In some cases, participation fees are paid on the first day of the conference, so the FM must be present at the registration desk. Compile final accounts, which must contain details of all income and expenditure. Together with the Head of the Board of Directors, the FM must finalise all remaining transfers and payments. The final amount on the sheet, the theoretical surplus from the conference, has to coincide with the money in the MunoM account. The FM is expected to work extremely responsibly and tidily since they will be dealing with large sums of money and payment documents.

Head of Press and Media & Deputy Head of Press and Media

The responsibilities of the Head and Deputy Head of Press and Media include the following: Producing press releases for newspapers. Editing and writing the MunoM conference newspaper. Putting together a press team to assist with the making of the MunoM newspaper. Producing a short film on the MunoM conference of that year. Advertising MunoM throughout the year and running any MunoM social media. Managing and updating the official MunoM website regularly.

Head of Administrative Staff & Deputy Head of Administrative Staff

The Head and Deputy Head of Administrative Staff are responsible for: Organising the Administrative Staff. They must hold meetings with the Administrative Staff to explain their duties to them. Assigning staff to the various conference rooms in twos or threes, and providing the Conference Manager and the Secretary General, with a list containing this information. Checking every morning that the rooms have been set up correctly by the Administrative Staff. At the end of each day, they must make sure that all rooms are clean and tidy. Ensuring that the rules of the conference are being followed (for example, notes are to be written in English only, notes are only to be passed within the committee concerned, notes are only passed on if they are on-topic, etc.). Making conference badges (together with the Administrative Staff). Organising a party for the MunoM participants, including making tickets. Organising a thank-you dinner after MunoM for the members of the Press Team, Administrative staff, Executive Staff, the Board of Directors and a separate thank-you dinner for all Student Officers (chairs).

Model United Nations of Munich Privacy Statement European School Munich

Model United Nations of Munich (MunoM e.V.) is a not-for-profit charitable educational organization based at the European School Munich. Model United Nations is a simulation of the UN General Assembly and other UN bodies. Students take on the role of delegates from UN member states and NGOs to debate current issues on the conference agenda. During the conference delegates make speeches, prepare draft resolutions, and negotiate with others in an attempt to resolve conflicts.The European School Munich (hereinafter referred to as the ‘School’) as the organizer of MunoM is committed to respecting your privacy and to complying with the requirements of Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016, on the protection of natural persons with regard to the processing of personal data and on the free movement of such data (hereinafter, referred to as the ‘GDPR’). ‘Personal data’ means any information related to an identified or identifiable natural person. In the School the ‘data subjects’ are in particular the pupils, and the legal representatives/parents. As defined by Article 4 (7) of the GDPR, the data ‘controller’ is the natural or legal person, public authority, agency or other body which alone or jointly with others, determines the purposes and means of the processing of personal data. As each European School has its own legal personality, the Director of the School is considered as a data ‘controller’. This MunoM Privacy Statement informs you about how MunoM processes the personal data which are collected from legal representatives/parents and students. For instance, it sets out what kind of personal data MunoM may collect, why it processes legal representatives’/parents’ and students’ personal data and what your rights are in relation to such data collection.

What are the categories of personal data collected by MunoM?

The organzisers of MunoM will need to have access to and to process the following personal data:

  1. Students

    • Students’ first name(s), surname(s), home address, telephone numbers, passport details and other contact details,
    • Students’ nationality, gender, languages spoken, country and town/city of birth,
  2. Legal representatives’ and parents

    • Legal representatives’/parents’ contact details,
    • Legal representatives’/parents’ bank details and other financial information,

What are the purposes for which personal data are collected?

The European Schools Munich is a sui generis intergovernmental organisation. Its purpose is to provide children with quality teaching and learning, in the public interest. MunoM forms part of the teaching and learning process. To organise a conference, MunoM needs to process the participatings students’ personal data and those of the legal representatives/parents. MunoM will use the personal data collected about participating students and legal representatives/parents for the following purposes:

  • Registration of students
  • Organisation of accommodation and transport
  • Organisation of the conference
  • Organisation of an event party
  • To print an ID-card
  • To create an invoice to cover the conference fees
  1. Performance of a task carried out in the public interest

As indicated above, the purpose of the European Schools is to provide children with quality teaching and learning, in the public interest. MunoM forms part of the teaching and learning process.

Therefore, the processing of the collected personal data (as stated in section 1), is necessary for the performance of a task carried out in the public interest, pursuant to the Convention defining the Statute of the European Schools and the General Rules of the European Schools.

Who has access to the personal data and whom do we share them with?

  1. Access to the personal data

The organizers of MunoM will use some service providers’ software (online registration via https://mymun.com) and IT solutions (i.e; SMS, O365). Contractual agreements are in place to ensure that these service providers are fully compliant with the GDPR’s provisions and act only in accordance with the School’s specific directions. Data processing activities by the organisers of MunoM will be handled only by MunoM members with a legitimate need to access the pupils and legal representatives/parents’ personal data, for the purposes described above. All MunoM members of the School are committed to protecting the confidentiality of your personal information in the performance of their tasks. They also received an induction to data protection in order to act in accordance with the GDPR’s provisions.

  1. Data sharing

To ensure security and access to the School, the security guards of the School will be provided with the relevant information by MunoM.

Is data transmitted to countries outside the EU/EEA?

The processing of personal data takes place exclusively within the EU or the European Economic Area; a transfer to other countries (so-called “third countries”) is not planned.

How do we protect and safeguard your information?

In order to protect delegates’ and legal representatives’/parents’ personal data, a number of technical and organisational measures have been put in place. These include appropriate measures to address online security, physical security, risk of data loss, alteration or unauthorised access, taking into consideration the risk represented by the processing and the nature of the data being protected.

In addition, we restrict access to the databases containing personal data to authorised persons with a legitimate need to access such information, for the purposes described above.

How long do we keep personal data?

The school will keep registration details of delegates and legal representatives/parents for 5 years after the MunoM conference, beginning on 31 December of the calendar year during which it took place.

What are your rights?

With respect to the processing of your personal data, you have the right to

  • to information on the personal data stored about you, Article 15 GDPR;
  • to correction of incorrect or incomplete data, Article 16 GDPR;
  • to deletion of personal data, Article 17 GDPR;
  • to limit processing, Article 18 GDPR;
  • to data transferability, Article 20 GDPR, and
  • to object to the processing of your personal data, Article 21 GDPR

Where MunoM processes personal data on the basis of consent, such consent may be withdrawn at any time. To facilitate the exercise of your rights, you may submit your request to our Data Protection Officer Correspondent: MUN-DPO-CORRESPONDENT@eursc.eu or via one of the contact channels indicated at the beginning of this privacy statement. MunoM will respond to these requests without undue delay and within one month at the latest. Should MunoM decline to comply with a request, you will be informed of the reasons for such a decision.

Who should you contact in case of a complaint?

If you consider that the School has not complied with the data protection laws applicable (including the GDPR) or that your rights have been infringed as the result of the processing of your personal data, you have the right of recourse and can contact the National Supervisory Data Protection Authority (Die Bundesbeauftragte fĂźr den Datenschutz und die Informationsfreiheit).

Changes to this Privacy Statement

We reserve the right to update this Privacy Statement at any time, and we will provide you with a new Privacy Statement when we make substantial changes.
